Reordering Rules - Part 2: Replenishment Actions

Replenishment Actions

This part explains how users work from the replenishment screen, refresh suggestions, filter products, update rules in bulk, create internal transfers, and control replenishment units.

Replenishment screen

[Insert image: Replenishment screen]

The replenishment screen is the main working area for reviewing products that need replenishment. It helps users check suggested quantities, filter replenishment needs, update rules, and create internal transfers where required.

Navigate to Inventory → Periodic → Replenishment to open the replenishment screen.

From this screen, users can:

  • Review products that need replenishment.
  • Check suggested quantities to order.
  • Filter replenishment lines by warehouse and product attributes.
  • Refresh replenishment suggestions.
  • Create or update reordering rules in bulk.
  • Create internal transfers from selected replenishment lines.

Refresh Replenishment Suggestions

The Refresh Replenishment Suggestions action reloads the replenishment screen using the latest stock and planning information.

This should be used when stock or demand has changed, such as:

  • Receipts were completed.
  • Deliveries were validated.
  • Internal transfers were processed.
  • Sales demand or reservations changed.
  • Reordering rules were updated.

Tip: Refresh the suggestions before creating transfers or updating rules, especially after warehouse transactions have been posted.

Example: A warehouse receipt is validated in the morning for 100 units of a product. If the replenishment screen was already open before the receipt was completed, click Refresh Replenishment Suggestions before reviewing the product. This ensures the list reflects the latest stock position.

Search and filtering options

The replenishment screen includes additional filters so users can work with large replenishment lists more easily.

Users can filter replenishment records by:

  • Warehouse: Review replenishment for selected warehouses.
  • Group: Focus on a product group.
  • Category: Review a specific product category.
  • Subcategory: Narrow the replenishment list further within a category.
  • Brand: Review replenishment by brand.

Select the required values from the search panel to narrow the replenishment list before taking action. The panel also supports searching within filter values, expanding long lists with See more, collapsing them with See less, and removing selected values using Clear Filter.

Example: A planner responsible for one warehouse can first filter by that warehouse, then narrow the list by brand. This allows the planner to update rules or create transfers only for the products relevant to that warehouse and brand.

Update rules in bulk

[Insert image: Update Rule wizard]

The Update Rule button opens the Replenishment Rule Generator. This wizard is used to create missing reordering rules or update existing rules in bulk.

Use this option when:

  • New products need reordering rules.
  • New warehouses need minimum and maximum rules.
  • Existing rules need updated minimum and maximum quantities.
  • Rules need to be prepared for a selected warehouse, category, department, division, product model, brand, supplier, product tag, or product selection.

Replenishment Rule Generator

The wizard provides the following operation types:

  • Create Only: Creates missing rules only. Existing rules are not changed.
  • Update Only: Updates existing rules only. Missing rules are not created.
  • Create & Update: Updates existing rules and creates missing rules where required.

The wizard can be filtered using:

  • Warehouse
  • Category
  • Department
  • Division
  • Product Model
  • Brand
  • Supplier
  • Product Tag
  • Product

To use the wizard:

  1. Open Inventory → Periodic → Replenishment.
  2. Click Update Rule.
  3. Select the operation type.
  4. Apply the required filters.
  5. Click Apply.
  6. Review the completion message showing how many rules were created or updated.

Important: Apply filters carefully. If the filters are too broad, many rules may be created or updated at once.

System behaviour: When rules are created or updated through this wizard, the system uses the current stock summary quantity as the minimum and maximum quantity for the rule.

Example: A new brand is added to multiple warehouses. Instead of creating each rule manually, the planner opens Update Rule, selects Create Only, filters by the required warehouses and brand, and clicks Apply. The system creates only the missing rules and leaves existing rules unchanged.

Create transfer from replenishment

[Insert image: Create Transfer from replenishment]

The Create Transfer button allows users to convert selected replenishment lines into internal transfers. This is useful when stock should be moved from one warehouse to another instead of being purchased or manufactured.

To create a transfer:

  1. Open Inventory → Periodic → Replenishment.
  2. Select one or more replenishment lines.
  3. Ensure the selected lines have a quantity to order.
  4. Click Create Transfer.
  5. The Stock Reorder Wizard opens.
  6. Review the transfer details.
  7. Click Create Order.
  8. The system creates internal transfer records and opens them for review.

Note: Use Create Transfer only when the replenishment requirement should be fulfilled by moving stock between warehouses.

Stock Reorder Wizard

[Insert image: Stock Reorder Wizard]

The Stock Reorder Wizard is used to confirm how the internal transfer should be created from the selected replenishment lines.

The wizard includes the following fields:

  • Scheduled Date: Planned date for the internal transfer.
  • From Warehouse: Warehouse that will supply the stock.
  • Check Onhand: When enabled, the system limits the transfer quantity based on available stock.
  • Qty As Of: Allows the user to calculate stock using Available Qty or Forecasted Qty.
  • Units: Allows the user to create the transfer using Base UoM or Purchase UoM.
  • Rounding Method: Controls how transfer quantities are rounded before transfer creation.
  • Product Lines: Shows the products, warehouses, units of measure, and reorder quantities included in the transfer.

Important: If Purchase UoM is selected, the quantity is shown in Base UoM on the screen and converted during order creation.

When Create Order is clicked, the system groups the selected lines by destination warehouse, creates internal transfer records, and confirms the transfers.

Example: Warehouse B needs 20 units of a product, while Warehouse A has enough available stock. The planner selects the replenishment line for Warehouse B, clicks Create Transfer, selects Warehouse A as the From Warehouse, enables Check Onhand, reviews the suggested quantity, and clicks Create Order. The system creates an internal transfer from Warehouse A to Warehouse B.

Product replenishment unit of measure

The product replenishment option restricts the Unit of Measure selection to the units allowed for the product.

This helps prevent incorrect unit selection when products are stocked, purchased, or transferred in different units.

A product is stocked in units but purchased in boxes. During replenishment, the user can only select units of measure that are valid for that product, reducing the chance of selecting an unrelated unit by mistake.
